INSTRUCTIONS

ANNUAL SETUP OF THE CITYFAIR PAGES


PART ONE:
SETTING ALL NON-CONTENT DETAILS

ONE PERSON should ideally do every step (1-20).

 1.  Log in to the Rose Festival WordPress site. (This is done at the website as you've been shown: Scroll to footer at the bottom of any page and click the Member Login link. Follow the links. Enter your information and click the Log In button. NOTE: Sometimes you'll have to do this TWICE. Ignore the cookies message and try again if necessary.)

 2.  In the Dashboard, go to Events.

 3.  Under Filters & Columns, use the Add a Filter drop-down to select Title (if necessary, ,meaning it doesn't already display). In the Search window, type: cityfair -- click the blue Apply button.

 4.  You should now see a LIST of all the CityFair pages at our website.
You're going to need to pay attention to the DATE and the ID number.

IMPORTANT!!!
Never delete ID 1762 -- this is the MOTHER page for all CityFair pages.
Never delete ID 5748 -- this is the PRIMARY page for all CityFair pages.

 5.  Start with ID 1762. Click Edit. You're going to make SEVERAL changes to this page.

 6.  Please note that the main body area of this page is BLANK.
Scroll down to EVENT TIME & DATE. Change the date to the current year -- the FIRST day of CityFair for this year. Both Start Date & Time AND End Date & Time should be THE SAME DAY. Change the times accordingly -- but remember that you'll be over-riding these when you continue below!
IMPORTANT: Recurrence should be NONE.

 7.  Event Location Details should be:
Use Saved Venue: Tom McCall Waterfront Park
Show Google Map - checked
Show Google Maps Link - checked

 8.  Meta Description should read:
Enjoy fun and festivities at Rose Festival CityFair - amusement rides, live music, local beer, tasty treats, shopping and more!

 9.  BOTH the Event Logo AND Sponsors Logo windows should be EMPTY.

10.  Excerpt should read:
Enjoy fun and festivities at Rose Festival CityFair - amusement rides, live music, local beer, tasty treats, shopping and more!

11.  Slug should read: cityfair

12.  MOVE to the right-hand column. Scroll down. Event post ID should read: 70, 612

13.  Under Categories make sure Waterfront is selected.

14.  Continue down to Event Alternate Options (ignore other items above this). In Alternate Dates, list the current year dates. (Remember NOT to include the actual year, which is auto added.)

15.  Unter Alternate Times, list the current year times.
IMPORTANT: This can be extremely lengthy and detailed. You'll have these details from the Waterfront Activities Manager (or an assistant).
After Updating, note where you need to add BREAKS to make this read better.

16.  Under Event Pricing Options, go to Pricing Options and make changes as necessary.

17.  Go to Event Ticket URL and enter the proper URL for the current year tickets -- this will be provided by whomever does ticketing in the office.

18.  Go to Static Event Parent URL. This should read: http://www.rosefestival.org/waterfront/city-fair
NOTE: If it's already there, you don't need to do anything. If it's missing, you need to add it.

19.  Click the blue Update button.

20.  REVIEW the page -- correct mistakes IMMEDIATELY.
Remember, you are NOT reviewing the center content of the page at this point.


PART TWO:
EDITING THE CITYFAIR PAGE FOR CONTENT AND SPONSOR LOGOS/LINKS

NUMEROUS PEOPLE can make changes to the body area. Ideally one person should make the sponsor changes. (21-27)

21.  To make content edits to the CityFair page after this point, login to the Rose Festival WordPress, go to the CityFair page and click Edit Page on the black WordPress bar at the top of the page.

22.  It's a good idea to COPY AND PASTE (save) the existing Copy/Text somewhere else -- just in case! Keeping the text -- plus all the special coding -- can save everybody lots of time down the road.

23.  The page NAME is at the very top, under Edit Page. This should read: CityFair. The Permalink, however, reads city-fair (we're not able to change that at this point). Do not change either one.

24.  The h2 at the top of the BODY should read: Rose Festival CityFair on the Waterfront. This is followed by the HEADER BANNER. Be certain your dimensions include width="645" -- the height can run from 200-250 (you can fudge this if necessary).

25.  Below the header, the first paragraph (h3) should read: Enjoy Entertainment, Food and Rides on the Waterfront
This will be followed by:
Rose Festival’s waterfront activities kick off on [opening date] at 5:00 p.m. for Memorial Day weekend and three consecutive weekends at Governor Tom McCall Waterfront Park [add dates here parenthetically, including the YEAR].
This should be followed by the green bar code.

IMPORTANT NOTE: The goal of all website pages is to include all important information inside the body of the page -- doubling up on items that appear in the left-hand column. This is done to guarantee people using mobile devices will see everything they need to know.

26.  Fill in all necessary information for the main page. You'll be assisted by Waterfront Activities Manager (or an assistant).

Early on you'll need to add: 20xx [current year] INFORMATION TO BE ANNOUNCED in various places on the page.

DO NOT ASSUME PEOPLE WILL KNOW INFORMATION IS FROM THE PREVIOUS YEAR!

27.  When you've finished editing, be sure to click the blue Update button to finish.

REMEMBER: ALWAYS CHECK YOUR WORK AT THE WEBSITE -- and on a smart phone -- TO BE SURE IT'S DISPLAYING PROPERLY!
